Privacy Policy

1. Overview

The Anderson Honda TimeClock application ("App") is an internal workforce management tool operated exclusively by Anderson Honda ("we," "us," or "the Company") for use by our employees. This App is not available to the general public and is restricted to authorized Anderson Honda employees only.

This Privacy Policy explains what information the App collects, how it is used, and how it is protected. By using the App, you agree to the practices described in this policy.

2. Information We Collect

The App collects the following information in the course of normal use:

• Time and attendance data — clock-in, clock-out, and lunch timestamps recorded when you use the App to punch in or out
• Location data — GPS coordinates at the time of clock-in to verify you are within an authorized dealership location. Location is only accessed at the moment of clocking in and is not tracked continuously
• Device information — device type and model, recorded at login for security and audit purposes
• Authentication credentials — your employee username and a secure session token used to maintain your login. Passwords are never stored on the device
• Push notification token — a device token used to deliver work-related notifications such as timecard reminders, overtime alerts, and change request updates

3. How We Use Your Information

Information collected through the App is used solely for the following purposes:

• Recording and managing employee time and attendance
• Calculating regular, overtime, and double-time hours for payroll
• Verifying clock-in location against authorized dealership premises
• Delivering work-related push notifications (overtime alerts, certification reminders, time off request updates, password expiry warnings)
• Maintaining security and audit logs of system access
• Administering employee time off, vacation, and sick leave requests

We do not use your information for advertising, marketing, or any purpose unrelated to employment and payroll administration.

4. Data Sharing

Your information is not sold, rented, or shared with third parties. All data is stored on Anderson Honda's private server infrastructure and is accessible only to authorized HR personnel, department managers, and system administrators within the Company.

We may disclose information if required to do so by law, regulation, or valid legal process.

5. Data Storage and Security

All data collected by the App is stored on servers controlled by Anderson Honda. We implement reasonable technical and administrative safeguards to protect your information, including:

• Encrypted HTTPS communication between the App and our servers
• IP allowlist restrictions limiting system access to authorized locations
• Session tokens with automatic expiry
• Brute force login protection
• Immutable audit logging of all system access and data changes

6. Location Data

The App requests access to your device's location only at the moment you attempt to clock in. This is used to confirm you are physically present at an authorized Anderson Honda location. Location data is not stored beyond what is necessary to verify your clock-in, is not shared with third parties, and is not used to track your movements at any other time.

You may deny location permission, but doing so will prevent you from clocking in through the mobile App. On-site browser-based clock-in remains available as an alternative.

7. Push Notifications

With your permission, the App sends push notifications related to your employment, including overtime alerts, timecard certification reminders, time off request status updates, and password expiry warnings. You may disable push notifications at any time through your device's notification settings. Disabling notifications does not affect your ability to use the App.

8. Data Retention

Time and attendance records are retained in accordance with applicable California labor law and Company record-keeping policies. Inactive employee records are retained for payroll history purposes and are not deleted. If you have questions about specific retention periods, please contact HR.

9. Your Rights

As an Anderson Honda employee, you have the right to:

• View your own time records through the App or by requesting them from HR
• Request correction of inaccurate time records through the change request workflow
• Ask HR questions about how your data is stored or used

10. Children's Privacy

This App is intended exclusively for use by Anderson Honda employees who are 18 years of age or older. We do not knowingly collect information from anyone under the age of 18.

11. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, the updated policy will be made available through the App and the effective date will be revised. Continued use of the App after any changes constitutes your acceptance of the updated policy.
